Bewirtungsbeleg App

Business meal receipts, digitised on the spot. Calculated correctly, on your own device.

Scan the invoice, add the details, send the finished PDF to your tax advisor. Two minutes at the table instead of a shoebox of paper in the evening.

  • ✓ No server
  • ✓ One-time purchase, no subscription
  • ✓ Based on the BMF letter of 2025

Good to know: The Bewirtungsbeleg is a German tax concept (entertainment and business meal expenses under § 4 (5) sentence 1 no. 2 of the Income Tax Act, EStG). The app is built for it, so the app and the PDF it creates are in German. This page is in English so you can see what you are getting before you install it.

The app's receipt list: four business meal receipts, one draft and three completed and locked.

In three steps

Capture at the table, fill in at your own pace, hand over when it suits you.

  1. 1

    Scan the invoice

The document scanner finds the edges, straightens the receipt and cuts away the background. It takes seconds – the rest can wait.

  2. 2

    Add the details

Occasion, participants, amounts. Your name and signature are already there – you enter them once and never again.

  3. 3

    Hand over the PDF

Self-issued expense voucher (Eigenbeleg) and invoice in one document. After that the receipt is locked; corrections go through a correction receipt.

The app's form with the mandatory details under § 4 (5) no. 2 EStG.
Amounts in the form: food at 7 %, drinks at 19 %, tip and the deductible 70 %.
Name of the host and saved signature on the receipt.
The finished PDF: date, restaurant, occasion, participants, amounts, input VAT, the deductible 70 %, signature and timestamp.
This is the result – self-issued voucher and invoice in one PDF, with signature, receipt ID and the time of approval.

What the app gets right

Four points where things go wrong in practice – which is why we built them with particular care.

VAT by the day of the meal

The VAT rate on food changed four times between 2020 and 2026. If you always calculate with 7 %, a receipt from 29 December is wrong – and the figure ends up permanently in the finished PDF. The app uses the rate that applied on the day of the meal.

Small-business owners included

If you cannot deduct input VAT, the 70 % is calculated on the gross instead of the net amount. One switch in the settings, and every receipt is right – without the PDF claiming input VAT that does not exist.

§ 19 UStG

Completed means unchangeable

A finished receipt is locked. If something is wrong, a correction receipt is created that refers to the original – the reversal principle from bookkeeping. Nothing is silently overwritten.

Proof within the document

Receipt ID, time of creation and time of electronic approval are in the PDF. A purely digital self-issued voucher requires exactly that.

Your receipts stay with you

No server, no user account, no advertising, no analytics. Not “servers in Germany” – no server at all.

The app does not connect to the internet on its own, not even to check for updates. The only exception is the purchase, which you trigger yourself; it runs through the App Store.

Who gets to read your receipts is up to you in the share sheet – and nobody else.

What it costs

Three receipts to try, then pay once. That’s it.

€19.99

one-time · including VAT (German App Store price)

  • ✓ The first 3 receipts are free, no account needed
  • ✓ After that, unlimited receipts
  • ✓ No subscription, no renewal, no running costs
  • ✓ All future improvements included
  • ✓ Completed receipts can always be exported – even without the purchase
Download on the App Store

Why one-time instead of a cheap subscription: a subscription at €9.99 a year costs about €50 after five years. Without a server we have no running costs – so we don’t send a running bill.

Frequently asked questions

Is the app available in English?

No. The app’s interface and the PDF it creates are in German, because the Bewirtungsbeleg is a German tax document and the rules, field names and legal references are German. Only this website is available in English.

Will the tax office accept the receipts?

That is decided by the tax office in each individual case, not by the app – and nobody can seriously promise you otherwise. The app follows § 4 (5) sentence 1 no. 2 of the Income Tax Act (EStG) and the letter of the German Federal Ministry of Finance (BMF) of 19 November 2025: it asks for all mandatory details, points out the additional requirements for invoices over €250 and creates the self-issued voucher and the invoice as one document.

Do I need a user account?

No. There is no registration, no request for an e-mail address and no password. The app works from the first moment, even in airplane mode.

Where are my receipts stored?

Exclusively on your device, in the app’s protected area. There is no server to upload anything to. If you use your iPhone’s device backup, the receipts are part of that backup – that is an iOS feature and can be switched off in the system settings.

What happens if I lose my iPhone?

Without a backup the receipts are gone – that is the flip side of nothing being stored in a cloud. Business meal receipts are accounting records with a ten-year retention period: back up finished receipts in good time outside the app, for example by passing the PDF on to your tax advisor.

I am a small-business owner (Kleinunternehmer). Does the app calculate correctly?

Yes. The settings have a switch for the small-business scheme under § 19 UStG (Value Added Tax Act). When it is set, the 70 % applies to the gross amount instead of the net amount, and the PDF shows no deductible input VAT.

Can I change a receipt afterwards?

Any time until you complete it. After that the receipt is locked – on purpose, because an accounting record must not be changeable afterwards without documentation. If something is wrong, you create a correction receipt that refers to the original and replaces it.

What does the app cost, and is there a subscription?

The first three receipts are free. After that the full version costs a one-time €19.99 including VAT. There is no subscription and no renewal. Receipts you have already completed stay visible and exportable, even without the purchase.

Is this tax advice?

No. The app is a form-filling aid: it provides the required fields, converts the amounts you enter according to its built-in rules and creates a PDF from them. It does not assess your individual case. If in doubt, ask a tax advisor. Details are on the page Nutzung und Haftung (terms of use and liability, in German).

The next receipt doesn’t have to end up in a shoebox.

Try three receipts for free – no account, no e-mail address.
